OFFICE MANAGER / EXECUTIVE ASSISTANT

We are looking for an experienced Office Manager / Executive Assistant to join our team!

The hours for this role will be 9-5, Monday to Thursday in Liberty Village.

Tasks

  • Office management:
    • Ordering stationery/office supplies
    • Ordering lunch for team meetings, as well as catering for client meetings
    • Keeping the kitchen and office tidy and clean
    • Couriers and post
    • Managing electronic equipment (computer, video recorders, audio recorders)
    • Ordering new furniture or equipment
    • Reconciling company expenses
    • Co-ordinating annual Christmas/Valentine’s cards
  • Assistant to CEO
  • Onboarding new staff:
    • Employee binder file
    • Ordering and tracking equipment – phones, computers, dongles, computer equipment
    • Phone line extensions and/or setup company cell phone
    • Computer and email set up
    • Continually developing and improving onboarding process
  • General HR:
    • Security checks
    • Co-ordinating interviews and reviews
    • Dealing with day-to-day issues
    • Ensuring office is tidy and well-stocked
    • Minor office repairs and coordination of repairs with facility management
    • Coordinate agenda for Monthly Team Meetings
  • Organizing office social activities
    • Staff outings
    • Annual Christmas party
  • Miscellaneous tasks that may arise, answering queries from strategists, general problem solving

 

IT Tasks

  • Setting up emails for new employees and contractors
  • Setting up and training staff on all services and programs (Slack, Box, Zoom, Microsoft Office, etc)
  • Administration of email groups and calendars
  • First-response IT problem-solver
  • Liaison between tech support and team
