Administrative Support Coordinator

The Administrative Support Coordinator plays a pivotal role in ensuring seamless operations across the Project Management, Compliance, HR, and IT teams.

This position requires an organised and proactive individual who can adhere to established procedures, collaborate effectively with colleagues, and manage multiple priorities with professionalism. As an entry-level opportunity, this role offers exposure to cross functional teams within Operations and the potential to transition into those that best suit your skills and interests.

Key Responsibilities

Cross-functional

  • Maintain internal databases and repositories.

Project Support

  • Prepare participant tracking documents.
  • Download and organize research data from various sources, ensuring accuracy and completeness.

Compliance Team Support

  • Shadow Compliance Officer
  • Review and redact Personally Identifiable Information (PII) in transcripts and interview video/audio.
  • Support Adverse Event (AE) reporting, audits and tracking.
  • Track client compliance requirements.

HR Administrative Support

  • Assist in organizing company-wide meetings and events.
  • Support onboarding and offboarding activities.
  • Assist with internal communications and culture-building initiatives.

IT Team Support

  • File archiving and data transfer verification.
  • Assist with asset inventory and status tracking.
  • Writing and publishing internal software user guides/tips/FAQs.

Experience & Qualifications

  • Excellent written and verbal communication abilities.
  • Proficiency in the Microsoft Office Suite (Word, Excel, Outlook).

Requirements

  • Located in, and legal authorization to work in Canada, without sponsorship.
  • Ability to work within Eastern Time zone business hours
  • Education minimum: high school or CAEC (College or University is an asset)
  • Work experience (administrative, compliance-driven, HR, IT, and/or customer support experience considered an asset)
  • Clear background check: Criminal, US Exclusions Database, US Denied Persons List, and EU, UK, and UN Sanctions List.

Compensation and Work-Life Balance

  • This is a permanent, part-time, remote position.
  • 20 hours per-week, between Monday and Thursday
  • Pay scale: $30/hour
